Event Planning and Coordination

This is the perfect level that our team can assist with for a mid-size event, where we can assist in some of the elements, your team is able to conceive and manage others, and we will pull it all together to make the event come to life. Here’s a little of how this level of service works.

The Planning Process

First, we need to meet to understand the event and learn a few things. Let’s get the basics.
  • What type of event are you planning?
  • What is the objective or the goals for the event?
  • What would you like to see happen from hosting the event?

From there, once we have that understanding, we will directly work with you to do the following:

  • Secure a venue (if one is already secured, we can manage that relationship for you and the other event vendors.
  • Develop food and beverage menus.
  • Provide a branded décor concept including furniture, lighting, linens, table top décor, lounge furniture and other décor related elements.
  • Assist with all audio-visual needs.
  • Provide dynamic entertainment.

This typically is the base planning package that we offer, but we understand all events are different and unique, reach out to our team and lets us learn more about what you need from the planning end. We can directly assist in helping with other service needs or provide recommendations.

Preparing for the Event Day

Our team work with you to plan the event, we will assist in getting ready for the event day. That includes assistance in:

  • Create Event Floor Plans.
  • Draft and Event Day Time Line.
  • Confirm with the venue and vendor teams.
  • Create a load in and set-up strategy.
  • Confirm all details with your team prior to the event.

The Event Day

After the planning is completed and the details have been confirmed, the event day arrives, and the following is what we are onsite to do.

  • Meet and greet with all vendor teams.
  • Be on hand to answer any questions vendors, the venue, or your team has.
  • Will work to coordinate the event with our event planning and coordination team.
  • Stay and adjust to the event day time line as needed.
  • Be sure all vendors will load out accordingly.

Please know, every event is different, and our actual day of duties will be based on your event and your needs. A customized plan is set in place once we have the event planned.
